SCHEDULE / SHIFT:
Full Time Days, 40 Hours per week

GENERAL SUMMARY:
The Surgery Schedule Coordinator is responsible for scheduling duties, responding to all incoming phone calls. He/she is responsible for scheduling process, maintaining and manipulating informatics clinical resource for all surgical department statistical data, and patient change input.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:

  • Accepts and adheres to regulations guidelines and standards established by local state and federal agencies including accreditation organization
  • Accepts responsibility by initiating an incident report when indicated
  • Acts as a resource person for staff, physicians and management
  • Answers telephone expediently and politely
  • Assists in evaluation of supplies and equipment
  • Assists with the orientation of new employees
  • Assumes responsibility for personal professional growth and development
  • Assures appropriate traffic control at the surgery control desk
  • Assures that all needed supplies and equipment are available in a timely manner
  • Attends mandatory in-services
  • Beeps, pages, telephone, contacts surgeons and anesthesia provider to facilitate patient care, surgery schedule changes, etc
  • Collects communicates and documents surgery data and reports including statistical data collected
  • Collects, opens and distributes mail
  • Communicates any perceived concerns, add-ons, delays etc. on the surgery schedule to the Nurse Managers
  • Communicates concerns of staff and physicians to surgery manager
  • Communicates patient information to members of the health care team
  • Communicates with Surgical Services Nurse Managers when equipment and supplies are needed for a procedure
  • Compiles minutes for defined OR Committees
  • Coordinates changes and adjustments to the surgery schedule with the surgery managers as necessary and appropriate to promote operational efficiency and quality of patient care

  • Notifies biomed/engineering of equipment failures checks repair needs, etc.

  • Participates as part of multidisciplinary team as directed
  • Participates in performance improvement activities
  • Prints surgery schedule and call schedule
  • Promotes and contributes positively to intra and interdepartmental relations
  • Provides and maintains a safe physical environment
  • Provides positive, respectful communication to employees, physicians, anesthesia providers, ancillary departments, visitors and patients
  • Reorganizes potential safety hazards, intervenes for the safety of patients, visions and personnel

  • Responsible to assure that all required paperwork is completed in at timely manner
  • Schedules surgeries and allots surgery times consistent with history of procedure and surgeon
  • Schedules surgical case accurately, knows when to ask for assistance

  • Utilizes appropriate channels of communication when initiating changes, reporting information or addressing concerns
  • Verifies and enters patient charges into system

Qualifications
KNOWLEDGE AND SKILLS REQUIRED:
  • Fluent in English Language, speaking, reading, writing
  • Computer Literacy

KNOWLEDGE AND SKILLS PREFERRED:
    • Previous Surgery Scheduling Experience

EDUCATION AND EXPERIENCE REQUIRED:
  • High School Diploma or Equivalent (GED)
  • Medical Terminology

EDUCATION AND EXPERIENCE PREFERRED:
    • Unit Clerk experience in a hospital
