You Will Be Responsible For:
  • Maintains all communications for the department including written correspondence and telephone contacts.
  • Fields all departmental phone calls provides appropriate trouble shooting and routes caller appropriately; screens all department mail, reduces paper flow and manages all follow-up correspondence.
  • Assists the department with developing PowerPoint presentations and supports the department by making minor and simple changes to graphic files.  Develops and maintains excel files as needed for departmental reporting.
  • Assists and project manages assignments for the department as needed.  May represent the department on cross-functional teams and task forces within the hospital. May represent the organization at community events from time to time.
  • Retrieving, sorting and delivering incoming departmental mail and delivering outgoing mail to mailroom.
  • Answering calls / inquiries from patients, visitors, and staff in a professional, courteous, and prompt manner.  Assisting in resolution or refers calls to appropriate administrative personnel as indicated. Anticipates and meets the needs of the Executive Team and customers.
  • Highly capable of performing administrative and clerical duties to support the efficient and effective operations.
  • Skilled at handling several tasks delicately and accurately in a fast paced environment.  

What You Will Need:
  • Strongly proficient with computer programs with word processing: Outlook, PowerPoint, Excel, Word.
  • Demonstrates interpersonal skills by effectively communicating with all levels of management and outside venders.
  • Ability to deal with data that is of a sensitive and confidential nature.
  • Good math skills with an ability to understand and work with spreadsheets. 
  • Excellent verbal and written communication skills as demonstrated by application resume, work history and interview process. 
  • Acknowledging physicians, employees, visitors, and customers promptly and courteously creating a welcoming environment.
  • Acting as a message center, i.e. answers the telephone promptly, screening and routing calls appropriately.
  • Documenting complete and accurate messages and communicating them to the appropriate person in a timely manner.
  • Providing administrative support to the Chief Medical Officer/Vice President of Medical Staff.
  • High School Graduate or GED
  • Associates Degree or Higher Preferred
  • Five (5) years’ secretarial/administrative experience
  • Experience in an a hospital setting Preferred
Job Summary:

Performs a variety of senior administrative assistant duties to support the designated departments in order to achieve smooth and efficient operations.  Will provide administrative support to several departments and to the VP of PFS, Patient Access and Revenue Integrity.  Serves as front line greeter for the department receiving patients, visitors, and guests.  Answers telephones in a professional tone and demeanor.  Maintains and orders kitchen (break room) and office/departmental supplies.  Processes all incoming and outgoing departmental mail for the VP or Director level staff.  Books conference rooms or travel when applicable for the purposes of standing committee meetings.  Organizes meetings and records and distributes meeting minutes for revenue cycle department or finance committee minutes; prepares and distributes meeting agendas/materials, presentations or meeting packets as applicable.   Effectively schedules, coordinates and maintains meetings/appointment calendar for VP to ensure time conflicts are resolved for time efficient management purposes.  Receives, reviews and completes patient complaints as well as entry into complaint tracking system; works with Risk Manager on complaints.  Provides project management on a variety of projects and other data tasks as required by the department.  Serves as department assistant to VP and provides administrative support to Patient Access, PFS and Revenue Integrity.
