Pharmacy Operations Coordinator – Retail Pharmacy – Orlando

AdventHealth Orlando seeks to hire a Pharmacy Operations Coordinator who will embrace our mission to extend the healing ministry of Christ.



Facility Profile:

Located on a lush tropical campus, our flagship hospital, 1,107-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. We are already one of the busiest hospitals in the nation, providing service excellence to more than 32,000 inpatients and 125,000 outpatients each year.



Work Hours/Shifts:

Monday – Friday; 8:00a – 5:00p



Job Summary:

The Pharmacy Operations Coordinator assists the Pharmacy Director in developing and maintaining retail pharmacy standard operating procedures and implementing and monitoring compliance among all stores. Monitors drug movement, prescription margin and new generics report and uses data to provide pharmacy managers with processes to improve operations. Assists with training and orientation of new employees. Coordinates internal quality audits to ensure compliance with regulatory and operational requirements. Assists director in resolving internal and external customer complaints/concerns with regard to quality of service. Identifies, develops and presents potential solutions to resolve problems that inhibit the department’s ability to improve processes. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.



Knowledge, Skills, Education, & Experience Required:

  • Strong written and verbal communication skills with a high level of professionalism
  • Knowledgeable in all the major prescription insurance carrier reimbursement guidelines and eligibility for coverage by third-party payers
  • Ability to effectively interpret regulations into operational requirements
  • Detailed knowledge of retail pharmacy operations and workflow processes
  • Proficiency with Microsoft Office (especially Excel and Power Point)
  • Ability to work collaboratively with others
  • Bachelor’s degree with an emphasis in Healthcare Administration, Healthcare Management, Business, or minimum of five years’ equivalent experience
  • Excellent communication and time management skills (Preferred)
  • Ability to interact professionally with employees and other department contacts (Preferred)
  • Strong analytical skills with attention to detail (Preferred)
  • Enhanced organizational skills and the ability to work on multiple projects simultaneously (Preferred)
  • Strong initiative (Preferred)
  • Proficiency with prescription-filling software and other computer skills (Preferred)
  • Strong knowledge of Medicare and 340B pharmacy requirements (Preferred)
  • Minimum of seven to ten years as a pharmacy technician or intern in a retail or outpatient pharmacy (Preferred)


Licensure, Certification, or Registration Required:

  • Current valid registration with the Florida Board of Pharmacy as a Pharmacy Technician or Pharmacy Intern
  • Technician certification (CPhT) by the Pharmacy Technician Certification Board (Preferred)


Job Responsibilities:

  • Professional representation of pharmacies: The Pharmacy Operations Coordinator is the main point of contact between specialty groups and all pharmacies and addresses issues that may arise with specialty patients, and keeps specialty coordinators aware of outstanding issues. Acts as main point of contact between software vendor, wholesalers and pharmacies. Conducts regular meetings with software vendor to ensure any issues or enhancements are being addressed and communicated to all pharmacy team members.
  • Operational efficiency: Collaborates with the Pharmacy managers and Director on operational efficiency and implementation of processes. Updates standard operating procedures (SOP’s) in conjunction with directors and communicates to the stores to ensure compliance with operational procedures. Monitors the SOP’s and makes updates when necessary. Researches, reviews and submits third-party reimbursement losses to Pharmacy Services Administrative Organization ( PSAO) to ensure appropriate reimbursement.
  • Monitoring of reports: Monitors the Rx Margin report for each store to identify drugs generating negative or very low margins and works with third-party payers to ensure proper reimbursement. Monitors non-movement reports for all pharmacies to identify other stores that may use inventory and transfers inventory to them. Monitors new generic availability and upcoming generics, and work with pharmacies to adjust order points and par levels or return unused products to wholesaler to assist in managing inventory.
  • Compliance: Conducts monthly pharmacy audits to ensure compliance with state and federal regulatory requirements; compliance with standard operating procedures; and third-party requirements set forth by third-party payers. Assists all pharmacies with preparation for third-party audits, and provides guidance on compliance with audit requests and post-audit documentation.
  • Staff development: Provides training for new employees and on-going training for current employees on software applications, pharmacy procedures and standard operating procedures.
  • Price maintenance: Frequently monitors products’ eligibility for Own-Use and 340B pricing and communicates changes to pharmacies to ensure lowest-priced drugs are obtained. Monitors and updates cash prices for drugs on cash formulary when there are price changes on drugs. Monitors and updates prices for foundation pricing to ensure best pricing for patients when applicable.
  • Customer service: Researches escalated customer service issues related to vendor relationships and assists in problem resolution. Assists in developing and implementing processes to prevent re-occurrence of escalated issues. Monitors web service patients’ requests and resolves issues when applicable.
  • Medicare Audits: Reviews and responds to all Medicare appeal requests, follows up on status of appeals, conducts redetermination requests, reconsideration requests and Administrative Law requests for all appeals when applicable.
  • Pharmacy service requests: Communicates service requests and special requests for all pharmacies to software vendor and wholesalers, and helps to develop procedures to follow to ensure successful pharmacy operations. Researches outstanding pharmacy service requests and follows up with software vendor and wholesalers to resolve pharmacy issues. Also assists with software upgrades and communicates with all staff about changes and improvements that are new to the system.
