PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:
  • Greets customers (patients, guests, families, staff, physicians, venders, etc.) and team members in a helpful and courteous manner while extending exemplary customer service. 
  • Supports department and team by ensuring patients are registered and processed accurately and timely.  Ensures integrity of patient accounts by working assigned error reports.   Communicates with team members and leadership educational needs for improvement, related to processes and work flows via email or team meetings.
  • Makes self-available to provide team members with tools and training needed to assist in meeting accuracy standard goals, minimize department registration errors, rejections, and avoidable denials. 
  • Ensures team success in meeting and exceeding stated monthly collection goals to protect financial standing of AdventHealth Waterman, by providing encouragement, education, and training to motivate team members in collections and reviewing all collection reports timely, as assigned by leadership. 
  • Responsible for assessing shift schedule, registration needs, and areas of prospect in order to give all team members ample opportunity to meet collection goal. 
  • Proactively seeks assistance to improve collections.  Reviews all collection reports timely, as assigned by leadership. 
  • Assigns and/or re-assigns registration positions as volumes increase or staffing issues arise.  Provides timely and continual coverage.
  • Required to constantly ensure a high level of team productivity by proactively reviewing department tracking board for shifts in volume and visiting registration areas, offering additional assistance as required.
  • Accountable for maintaining a close working relationship with clinical partners to ensure continual open communication between clinical, ancillary and Patient Access Departments, aiding in meeting 100% discharge interviewing goal set by department.  Ensures all financial assessments, eligibility, and benefits memos are clear, updated and thorough to support post care financial needs.
  • Adheres to HIPAA regulations by verifying pertinent information to determine caller or visitor authorization level before releasing account information.
AREAS OF RESPONSIBILITY:

Patient Access Central Scheduling:

  • The Scheduling Lead Registration Representative is a working floor educator for schedulers, pre-certification and pre-registration staff. 
  • Takes scheduling calls to maintain team performance goals.  Ensures staff members are answering phones in a timely and efficient manner to ensure optimal productivity. 
  • Efficiently and effectively works with departments on same day scheduling challenges and over bookings, providing superior service at all times. 
  • Encourages and motivates team through positive attitude, low absenteeism and tardiness rates.  Encourages team members to participate in department activities such as department meetings, lunches and Employee Forums. 
 Patient Access Admitting:
  • Greets all customers (patients, guests, families, staff, physicians, vendors, et) and team members in a helpful and courteous manner while extending exemplary customer service. 
  • Is responsible for aiding patients in creating an account through the Patient Portal.  Communicates with team members and leadership, educational needs for improvement, related to processes and work flows.
  • Proactively seeks assistance to improve collections. Reviews all collection reports timely, as assigned by leadership. 
  • Performs eligibility and benefits verification applicable to patients visit.  Uses upmost caution that authorizations and pre-certifications are correct and as accurate as possible to avoid rejections and/or denials. 
 Patient Access Emergency Registration:
  • Supports department and team by ensuring patients are registered and processed through Emergency Department system protocols accurately and timely. Ensures integrity of patient accounts by working assigned error reports. 
  • Assigns and/or re-assigns registration positions as volumes increase or staffing issues arise.  Provides timely and continual coverage of assigned work areas in order to offer prompt patient service and be available for all clinical partners registration needs. 
  • Required to constantly ensure a high level of team productivity by proactively reviewing Emergency Department tracking board for shifts in volume and visiting registration areas, offering additional assistance as required.  Ensures team members are seeking out patients at bedside for timely account follow up and completion, minimizing amount of turnover to next shift.  

Qualifications
What You Will Need:

KNOWLEDGE AND SKILLS REQUIRED:
  • Proficient in use of Microsoft Office applications Outlook, Word, Excel.
  • Uses discretion when discussing personnel/patient related issues that are confidential in nature.
  • Is responsive to ever-changing matrix of hospital needs and acts accordingly.
  • Self-motivator, quick thinker. 
  • Capable of performing basic math functions.
  • Capability of communicating professionally and effectively in English, both verbally and in writing.
  • Knowledge of medical terminology preferred.
  • Knowledge of insurance plans preferred. 

EDUCATION AND EXPERIENCE REQUIRED:

  • High School diploma or GED
  • Previous work experience in Patient Access/Patient Financial Services Department or related area (registration, finance, collections, customer service, medical office, contract management, or call center experience.
  • College education or coursework in business or healthcare, or related field preferred. 
Job Summary:

Under supervision, supports department and team by ensuring patients are scheduled, registered and processed through Department system protocols accurately and timely, ensuring integrity of patient account. Trains and mentors new and/or existing employees.  Anticipates and responds to inquiries and needs of team members and clinical partners as requested, performing general shift lead duties. Ensures team success in meeting and exceeding stated monthly scheduling, accuracy and collection goals. Constantly ensures a high level of team productivity by proactively reviewing department tracking tools. Actively participates in exemplary customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Adheres to Florida Hospital Waterman Corporate Compliance Plan and to all rules and regulations of all applicable local, state and federal agencies and accrediting bodies.
