Work Hours/Shift:
  • Full-Time, Monday – Friday
You Will Be Responsible For:
  • Process assigned state and county/city specific leave of absence requests (that are not handled by the leave administration vendor, if any), including verifying initial leave eligibility, evaluating supporting documentation, updating systems and making management notifications as applicable
  • Documenting HR help desk cases and providing support or liaising with leave management vendor for assigned cases; maintain professional and confidential relationships with employees served
  • Resolve problems within scope of authority and escalates situations to a Senior Specialist or Senior Manager as appropriate
  • Review leave reports and distribute accordingly from leave administration vendor, manually updating ERP and time/attendance system where needed in support of payroll processing
  • Receive ADA related requests, request supporting documentation and initiate the interactive process with Employee Relations when appropriate; liaising with the leave administration vendor, employee relations, and department management, communicating next steps to employees in accordance with federal, state, and local regulations
  • Oversee the return to work process through communication of policies and procedures and identification of early return to work opportunities (employee accommodations).  Help facilitate accommodations implementation through the creation of return to work plans and serving as a liaison between managers and employees, as well as leave administration, STD and WC vendors, Risk Management and Benefits departments, HRBPs, Employee Relations and facility based Employee Health department as needed.  Oversee the process until resolution.  Interact with leave administration vendor to track all accommodations as appropriate
  • Consult with employees and provide information relating to leave of absence, timelines, and pay policies, including third party sick pay opportunities
  • Maintain up-to-date knowledge of applicable federal, state, and local HR and leave related laws
Qualifications
What You Will Need:
  • Three years of experience in Leave of Absence Administration
  • Proficient with Leave Management Systems
 
Job Summary:
 
The Leave Administration Specialist is an individual contributor supporting Adventist Health System’s leave of absence administration and return to work functions. This individual is responsible for the administration and communication of procedures and policies related to leave of absence, ADA and return to work requests and/or accommodations in accordance with federal, state, and local regulations, including, but not limited, to working with the leave administration vendor, reviewing paperwork to ensure requests meet internal policy and legal requirements, verifying eligibility, maintaining proper documentation for in-house leave administration duties, assisting in obtaining documentation for ADA leave and accommodation requests, providing guidance and information to managers, handling manual system updates, reviewing vendor error files, and communicating with employees and managers regarding decisions and on-going expectations.
