Intake Coordinator – Neuroscience Administration - Orlando

AdventHealth Orlando seeks to a hire Intake Coordinator who will embrace our mission to extend the healing ministry of Christ.



Facility Profile:

Located on a lush tropical campus, our flagship hospital, 1,107-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. We are already one of the busiest hospitals in the nation, providing service excellence to more than 32,000 inpatients and 125,000 outpatients each year.

Job Summary:

The Intake Coordinator is the point of first-contact for patient and referring physicians, providing assistance and customer service to patients. This includes triaging and managing all incoming inquiries and processing/directing patient referrals. The Intake Coordinator completes and oversees a variety of support activities. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all..



Knowledge, Skills, Education, & Experience Required:

  • Exceptional communication and organizational skills.
  • Proficiency in using computer, word processing, and email system. Secretarial skills including Word, Excel, and Outlook.
  • Self-motivated with the ability to multi-task and adapt to changing program needs
  • Adaptable, with professional appearance and gracious personality.
  • Able to promote the highest quality of service with a spirit of willingness and cooperation to both patients and staff.
  • Able to work independently and accurately, using good judgment in all situations, and possessing communication and organizational skills.
  • Able to maintain confidentiality in accordance with Hospital policy and HIPAA regulations.
  • General knowledge of health insurance authorization process and billing codes.
  • Medical terminology (Preferred)
  • Working knowledge of FH programs, policies and resources (Preferred)
  • 1-2 years experience working in healthcare setting
  • LPN or Certified Medical Assistant (Preferred)
  • HS diploma or GED (Preferred)

Job Responsibilities:

  • Responsible for screening of all new applications-screen application submission to be sure all documents/records are included with submission. If information is incomplete, contacts patient to request and/or completes information required for application review. Faxes/scans required paperwork to medical/physician offices for review, or as requested/needed by medical/physician offices. Obtains insurance information and forwards to financial personnel; scans/enters/updates all pertinent records into database. Conducts phone interview and accurately enters information into medical history intake form.
  • Ensures that patient appointments are completed per department standards. Pre-schedules associated patient educational classes as appropriate; follows up with phone calls as necessary. Mails required/informational program materials.
  • Coordinates collection of tests, reports and dictations necessary for patient’s evaluation. Retrieves and documents accurately into patient’s medical record all necessary testing and/or procedures which are required to adequately evaluate the patient including but not limited to, retrieving information from AH databases and entering that information into the electronic medical record database; files hard copies in patients’ paper files; follows up on additional testing required by the physician; and updates database as required.
  • Screens phone calls when coordinators are unavailable. Triages patient needs and direct inquiries appropriately. Routinely accesses Priority Consult scheduling screen and contacts the patients with the physician’s recommendations for plan of care.
  • Responsible for mailing out/collecting and tracking of any programmatic surveys; ensures information is entered into program database.
  • Utilizes professional interpersonal skills and displays a caring and courteous attitude, representing the department and AdventHealth in a positive manner. Promotes and contributes positively to intradepartmental and interdepartmental relationships per department standards. Maintains the confidentiality of patient and departmental information at all times. Continuously strives to improve customer satisfaction by going above and beyond expectations.
  • In absence of department administrative support, may assist with coordination of department meetings and other clerical responsibilities
