Credentialing Coordinator – Medical Staff Services – Orlando

AdventHealth Orlando seeks to hire a Credentialing Coordinator who will embrace our mission to extend the healing ministry of Christ.

Facility Profile:

Located on a lush tropical campus, our flagship hospital, 1,107-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. Department Profile:

The FH Medical Staff Office (MSO) develops, manages, performs, and directly supports governance, and credentialing and privileging activities related to over 2,500 Medical Staff members and Advanced Health Practitioners (AHP). The MSO supports the FH organized Medical Staff leadership and committees by providing expert consultation and ensuring its leaders and members adhere to the FH Medical Staff Bylaws, Rules and Regulations, and all pertinent policies. MSO are responsible for remaining current and complying with all state, federal and non-federal national regulations and requirements on credentialing processes. Ensures that all Medical Staff and AHP members are properly vetted according to the requirements of the Medical Staff Bylaws, The DNV, State of Florida, Centers for Medicare and Medicaid Services (CMS), and other regulatory requirements by providing primary-source and accurate verification services.

Work Hours/Shifts:

8am – 5pm; Monday – Friday

Job Summary:

Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Manages the Initial process of all members of the medical staff, including updates to credentialing database and privileges; Manages additional privileges for Medical Staff. Acts as the liaison between Medical Staff Services and delegated credentialing entities relative to membership applications. Coordinates research and inquiries of Medicare and Medicaid and Department of Health sanctions.

Knowledge, Skills, Education, & Experience Required:

  • Proficiency in oral and written English
  • Strong organizational skills
  • Ability to work with people of various backgrounds and professional levels
  • Intermediate level computer skills such as Microsoft Word and Excel, Outlook
  • Ability to work independently and prioritize projects
  • Excellent communication skills, both oral and written
  • Ability to work under stress and deadlines
  • Bachelor’s in business or healthcare administration, OR
  • Minimum of three years credentialing experience in a healthcare environment.
  • Understanding of credentialing principles and DNV standards (preferred)
  • Experience in Credentialing or a Medical Staff Services office. (preferred)
  • Experience with credentialing software (preferred)

Licensure, Certification, or Registration Required:

  • Certified Professional Credentialing Specialist (CPCS) (preferred), or
  • Certified Professional in Medical Services Management (CPMSM) (preferred)

Job Responsibilities:

  • Applications for Medical Staff, Locum Tenens and Allied Health Privileges – Provides applications upon determining applicant’s eligibility. Upon return of applications, reviews for completeness and initiates the credentialing process by entering data into credentialing database, requesting references and verifications within the department guidelines.
  • Manages Progress of Applications – Reviews and assesses all incoming documentation and enters into system within the department guidelines. Maintains electronic summary of application and communicates status of application and pending items to applicant (or designee) every week. Communicates all concerns and issues with manager and/or director upon discovery or prior to providing copy to department chairman. On a monthly basis, maintains all tracking data relative to applications in process and length of time to credential applicants and year-to-date information relative to the same, and produces report within the week prior to Credentials Committee.
  • Department Chairman Reviews and Recommendations - Provides complete applications to appropriate department chairman, communicating any concerns or issues requiring specific attention, and pursues additional information as requested by the chairman.
  • Committee Recommendations – Obtains appropriate committee recommendation according to the Policy on Appointment, Reappointment and Clinical Privileges and the Policy on Allied Health Professionals, facilitates committee chairman review of application followed by placing on appropriate committee agenda no later than the Tuesday prior to committee. Forwards to Executive Committee, ensuring that all pending information is received prior to committee and information is entered into database. Is prepared to respond to questions regarding application.
  • Committee and/or Temporary Privileges Follow-up – Within in one (1) day of Credentials Committee and/or Executive Committee, if temporary privileges were granted at committee, enters privileges into database and informs the applicant, in writing, of recommendations made including any special modification. Follows the same process for the applicants processed via the expedited process prior to committee review. Within one (1) week of Executive Committee, reviews entire credentials file for completeness, including all the required signatures. Within ten business days of the Board of Directors meeting, generates and mails letter to all new medical staff and allied health professional applicants to inform them of the Board action, completes final preparation of credentials file and files it appropriately. Produces and mails customized letters to medical staff appointees informing of Medical Executive Committee recommendations and Board approval within ten business days of said meetings. Within ten business days of each meeting, updates credentialing database relative to reappointments, alignments and reinstatements, including all privilege information.
  • Maintenance of Privilege Database and Tracking Data - Maintains database of physician and allied health professional privileges in credentialing software following Medical Executive Committee recommendations within 24 hours. Maintenance includes site specific (campus) designations and updating of the privilege master to correlate with all changes made to the clinical department privilege request forms.
  • Delegated Credentialing Services - Performs processing, credentialing, and verification of provider applications of all entities for which Medical Staff Services has entered into a delegated credentialing agreement according to the provisions of the agreement and the entity’s credentials policy.
  • Performs other duties as assigned.
