Clinical Research Support Assistant - Translational Research Institute - Orlando

AdventHealth Orlando seeks to hire Clinical Research Support Assistant who will embrace our mission to extend the healing ministry of Christ.

Department Profile:

The Translational Research Institute for Metabolism and Diabetes (TRI) is the product of an innovative affiliation between AdventHealth and Sanford-Burnham Medical Research Institute that bridges the gap between discovery research and clinical care. The TRI brings together the complementary strengths of Sanford-Burnham’s basic science prowess and advanced research technologies and AdventHealth’s compassionate, comprehensive clinical care and clinical/translational research expertise to accelerate the discovery and development of new approaches to diagnose, treat, and prevent obesity, diabetes, and their cardiovascular complications.

Job Summary:

The Clinical Research Support Assistant is responsible for administrative and clinical research office support of the research department, to ensure smooth and efficient operations. Organizes, coordinates, and supports the day-to-day activities of the research team (Principal Investigators (P-I), Sub-Investigators (Sub-I), Clinical Research Nurse, Research Study Coordinators, volunteers, and customers) involved in clinical research. Leads the recruiting needs of specific protocols and works with the team to meet those goals. Coordinates and interfaces with IRB, ORA, and pharmaceutical sponsors. Adheres to the AdventHealth Corporate Compliance Plan and to all rules and regulations of applicable local, state and federal agencies and regulatory bodies. Actively participates in excellent customer service and accepts responsibilities for maintaining relationships that are equally respectful to all.



Knowledge, Skills, Education, & Experience Required:

  • Excellent organizational, multitasking, and problem solving skills with extreme attention to detail
  • Able to work at a steady pace and accommodate changing priorities
  • Excellent interpersonal and communication skills in English (writing, speaking, and comprehending)
  • Professional attitude and conduct
  • Computer literate and proficient in the use of Microsoft Word, Excel and Outlook programs
  • Data entry skills
  • Typing at 30 wpm)
  • Medical terminology (Preferred)
  • Communication skills in Spanish (writing, speaking and comprehending) (Preferred) Computer literate and proficient in Access, PowerPoint, and database management) (Preferred)
  • Associate’s degree in health science, or related field, OR
  • 3 years equivalent administrative/professional experience)
  • Bachelor’s degree desirable in health science, related areas, or technical degree(Preferred)
  • Medical Assistant or 1-2 years experience in medical front office(Preferred)
  • Previous research regulatory experience

Licensure, Certification, or Registration Required:

  • Medical Assistant certification (Preferred)


Job Responsibilities:

Demonstrates through behavior AdventHealth’s Core Values of Keep Me Safe, Love Me, Make it Easy, and Own it as outlined in the organization’s Performance Excellence Program.

  • Assists in the preparation of documents for IRB Submissions (initial/annual reviews, changes, safety letters, et al) helping to ensure all requirements and submission deadlines are met. May coordinate and interface with IRB, ORA and pharmaceutical sponsors.
  • Prepares all patient consents/authorizations (for new studies and revisions as needed) and regulatory documents ensuring all are done according to FDA/OHRP, HIPAA, GCPs, FHIRB and SOP requirements and meeting appropriate deadlines.
  • Supports the research team by assisting with: subject recruitment (database entry/queries, assisting with subject prescreening); ensuring maintenance of proper research certifications; protocol procurement; project timelines updates; and literary searches.
  • Supports the research team by: creating/maintaining accurate files; maintaining office and clinical supply inventory; copying, scanning, faxing and emailing documents as necessary; daily mail distribution; and being proactive in process improvement ideas.
  • Enters and updates information into data base for recruiting.
  • Facilitates communication for the research team by: answering phones, accurately taking and distributing messages; returning all calls within 4 working business hours; scheduling all visits and meetings and taking meeting minutes as necessary; and assisting with the creation and updates of the department website.
  • Contributes to providing the highest levels of customer service by maintaining open communication with other research staff, and participating in inter-department discussions relevant to research.
  • Accepts the inherent responsibility that relationships created during communication with others will be equally respectful to all and accepts constructive criticism, striving to improve problem areas while demonstrating emotional stability and tact
  • Performs other duties as assigned or directed to ensure smooth operations of the department.
