Clinical Data Manager – BMT Program – Orlando

AdventHealth Orlando seeks to hire a Clinical Data Manager who will embrace our mission to extend the healing ministry of Christ.



Facility Profile:

Located on a lush tropical campus, our flagship hospital, 1,368-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. We are already one of the busiest hospitals in the nation, providing service excellence to more than 32,000 inpatients and 125,000 outpatients each year.



Work Hours/Shifts:

Monday – Friday; 8:00am – 5:00pm



Job Summary:

The Clinical Data Manager oversees implementation, coordination, and evaluation of all aspects of data for the Bone Marrow Transplant (BMT) Program to meet overall program goals and objectives, under the guidance of the Associate Director. Areas of responsibility include CIBMTR/NMDP registry data and the clinical database. Is responsible for the provision of accurate clinical and program data to senior leadership, the Center of Excellence Surveys, and the presentation and analysis of Program Survival Statistics. Provides expertise and advice regarding CIBMTR/NMDP standards and requirements to the BMT program leadership. Utilizes expertise to ensure that all regulatory requirements are met, including FACT/CIBMTR/NMDP. Along with BMT program leader, oversees data support staff. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.



Knowledge, Skills, Education, & Experience Required:

  • Knowledge of governmental regulations and compliance requirements.

  • Associate’s degree in nursing or similar field.
  • 1-2 years of bone marrow transplant experience.


Licensure, Certification, or Registration Required:

  • Current valid State of Florida or multi state license as a Registered Nurse


Job Responsibilities:

  • Provides expertise and advice regarding CIBMTR and NMDP standards and requirements to BMT program. Acts as liaison with CIBMTR. Creates and modifies workflow processes and serves as a resource for staff and physicians regarding understanding of standards and requirements. Provides advice and helps implement changes in BMT program processes to comply with requirements. Analyzes changing needs of the program, collaborating with program leadership team and continually assessing and improving processes. Communicates regularly and provides reports to BMT leadership on status of Data and Applications departments. Serves as a member of the BMT leadership team.
  • Oversees operations of the BMT quality assurance department. Supervises BMT data support staff and ensures secure, accurate and timely submission of CIBMTR /NMDP and other required data forms. Ensures forms are signed by MDs prior to submission. Responsible for productivity and quality assurance for forms submission. Maintains tracking system to provide reporting of current status of forms submission. Evaluates, audits and monitors data documentation to ensure accuracy of reporting. Maintains knowledge of current data requirements and adapts current processes to ensure provision of required data. Ensures that monthly, quarterly and annual data reports are produced. Supervises provision of ongoing data reporting for clinical and administrative data. Presents BMT data to BMT subcommittees. Manages and ensures accuracy of database.
  • Works closely with coordinators’ office to ensure timely scheduling of post-transplant follow-up.
  • Ensures that FACT and other data points, as appropriate, are identified in patient records and that FACT standards and forms requirements are met. Serves as a member of the BMT subcommittee and participates in FACT continuous readiness and survey preparation.
  • Responsible for the quality improvement process within the data department, including SOPs, QI data points, audits, event management process and corrective action plans, in accordance with regulatory standards. Evaluates, identifies and implements process/system changes in the daily operations to enhance effectiveness of the Data department. Attends and reports at QA/QI meeting on various quality indicators. Identifies, reports and recommends solutions for deviations from Program SOs and reports to medical director and appropriate staff. Designs and prepares process improvement reports and outcomes analysis on a regular basis.
  • Responsible for completion and submission of RFI survey data. Tracks surveys due for completion, ensures timely and accurate submission, and maintains records of RFIs. Assists with RFIs, with approval and input from Office Manager and QA/QI Manager.
  • Oversees content and supervises staff orientation and training for applications and data staff. Ensures required staff education is current for FCCT and FACT standards. Ensures that productivity and quality standards are in place for Applications and Data staff; conducts staff work reviews and evaluations. Communicates FCCT policies, procedures and established standards of care and practice for Data department. Educates and trains staff on performance improvement initiatives.
  • Verifies accuracy of patient’s disease status and risk assessments per CIBMTR guidelines. Attends patient management meeting weekly. Maintains monthly log on total transplants performed and ensures accuracy of data.
  • Ensures program remains accredited with both FACT, NMDP and other regulatory agencies. Prepares and facilitates site visits from outside regulatory agencies including FDA, FACT, NMDP, and CIBMTR.
  • Assumes responsibility for own professional development and maintenance of professional knowledge and skills relevant to bone marrow and stem cell transplantation. Maintains in-depth knowledge of FACT, NMDP, and ASBMT requirements.
  • Collaborates with all aspects of the BMT service lines such as Apheresis collection, cellular therapy processing, data management, and in/outpatient BMT.
