You Will Be Responsible For:
  • Abstracts data from the medical record, concurrently and retrospectively. Enters data entry as required and data submits through computer file or download for:
  • Performance Improvement projects which may be required by regulatory or accrediting bodies
  • External Performance Improvement and Clinical Best Practice initiatives
  • External comparative databases which may include those for specialized services such as NCDB:  NAPBC:  FCDS (State Reporting) with validation of data as required
  • Medical Staff or committee or department review on specific aspects of patient care as requested
  • Participates in oversight review of completed cases according to Quality Data Control Plan; correcting discrepancies within month of cases collected.
  • Reviews, identifies and accessions reportable cases from Pathology, Radiation Oncology, Medical Oncology and the hospital’s disease index. 
  • Assists with process of obtaining and reporting compliance of clinical staging by physicians in electronic health record to support accurate staging and collection of cancer data.  
  • Coordinates multi-disciplinary Tumor Board/Cancer Conferences, maintaining required documentations, monitoring required attendance and case discussion to support the Accreditation Program Standards of the Commission on Cancer (COC) and the National Accreditation Program or other related accrediting agencies
  • Collaborates with Medical Staff and multiple departments, external facilities to facilitate the coordination of pathology and imaging materials for Tumor Boards.  
  • Contacts, collects and organizes: cancer cases, pathology and imaging reports for Cancer Conferences.  Includes: pathology and lab information. Must provide all imaging reports, data, etc. for conferences as well. 
  • Schedules rooms and food for tumor boards
  • Contacts physicians and physician office staff on a weekly basis (i.e. surgeons, medical oncologists and radiation oncologists) in a timely manner to prepare all data, reports and information for Cancer Conferences. Prepares and assembles all required items for Conferences
  • Ensures smooth operations of Cancer Conferences for AdventHealth Ocala. Includes: all equipment, IT, reports, ordering food, reserving room and space, recording of attendance, etc.
  • Facilitates use of data to identify opportunities to improve clinical outcomes, prevent events with the potential to negatively impact care, promote patient safety and improve hospital processes.
  • Develops or improves processes related to data abstraction, submission, reporting, or other processes within the Cancer Data Services area.
  • Completes review, data submission and reporting activities within the required time-frame.
  • Performs other related duties as assigned.

What You Will Need:


  • Must possess high-degree of concentration and precision for detail
  • Understands rules and regulations regarding privacy and confidentiality of patient information
  • Electronic Health Record experience is required.
  • Computer proficiency is required.
  • Driver’s License required.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Ability to use machines, tools, equipment and work aids as necessary to perform job duties, i.e., set up LCD projector


  • Data management of extensive data set of large, multi-facility database
  • Analysis of data and compiling to format for use by physician and administrative audiences
  • Understanding of current cancer diagnosis and therapeutic services
  • Strong knowledge of use of Excel, Power Point and Word
  • Working knowledge of ACoS accreditation guidelines and process is preferred.


  • Associate’s degree in health-related field or the equivalent of 60 College-level credits or a Certified Nurse Assistant
  • Completes necessary classes to be eligible and successfully pass CTR Exam within 3 years of hire
  • Must have knowledge of computer systems to include MS Office (Outlook; Word; Excel, PowerPoint; electronic health record, such as Cerner
  • Requires background in medical terminology, Anatomy and Physiology, and data collection principles.


  • Bachelor’s  in health-related field preferred
  • Working knowledge of ACoS accreditation guidelines and process.
  • Experience in Cancer Registry software process and reporting requirements
  • Experience and knowledge of reporting requirements of the Department of Public Health and accrediting agencies
  • Experience in monitoring and reporting quality indicators used for facility benchmarking and reimbursement.
  • Oncology experience in hospital or physician office
  • Minimum of 2 years’ experience working in cancer data management performing abstracting; quality improvement projects, serving as data quality and assessment analyst; data analysis;


  • Certification in Cancer Registry (CTR) is required within 3 years of hire


  • Registered Health Information Technologist - RHIT
  • Certified Clinical Research Professional, CCRP, CCRA
  • Current Florida RN license
Job Summary:

Responsible for management and maintenance of a comprehensive program of data collection and analysis of clinical care for internal and external benchmarking to improve patient outcomes and hospital processes (Commission on Cancer; NAPBC;  FCDS; National Cancer Data Base;  CDC, etc.). Re-abstracting oversight will is conducted for new case data collection per Quality Data Control Plan.
