Assistant Practice Manager – Centre for Family Medicine at Winter Park – Winter Park

AdventHealth Winter Park seeks to hire a Assistance Practice Manager who will embrace our mission to extend the healing ministry of Christ.

Nestled among the oak-shaded, brick-paved streets of one of the most picturesque hometowns in the country, Winter Park Memorial Hospital has continuously served the residents of Winter Park and its surrounding communities for more than 50 years. Chartered in 1951, the hospital has grown from the visionary efforts of a handful of Winter Park residents and community leaders, to a 307-bed acute care facility that is a model of community health and wellness. Work Hours/Shifts:

Mon-Wed 8am-6:30pm, Thur 8am-5pm, Fri 8am-5pm



Job Summary:

Under the general supervision of the Practice Manager, this position is responsible for providing physician support and supervision of clerical staff in a large physician office practice. Maintains adequate supplies, appropriate staffing levels, staff competencies and discipline; maintains quality of clerical functions to facilitate efficient patient care; utilizes knowledge of fiscal management; oversees the day to day operations and overall success of the physician office in the absence of the Practice Manager. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.



Knowledge, Skills, Education, & Experience Required:

  • Multi-tasking ability (Preferred)
  • Problem-solving skills (Preferred)
  • Organizational skills (Preferred)
  • Phone skills and etiquette (Preferred)
  • Basic computer skills (Preferred)
  • 2 years of office management experience
  • Three years successful and progressive management experience in a physician office (Preferred)
  • College graduate, Bachelor’s degree preferable in business or healthcare related field (Preferred)

Job Responsibilities:

  • Reviews and coordinates individual and team functions of appointment scheduling, surgery scheduling (if applicable), registration, referrals (if applicable) and medical records; reviews methods, practices and procedures with staff to provide feedback, increase efficiency and quality patient care.
  • Oversees the day to day operations of the practice in the absence of the practice manager to ensure the overall success and efficiency of the practice.
  • Performs individual and team functions accurately, in a timely manner, and according to guidelines; is cross trained in all clerical functions in order to complete team functions, when necessary. Ensures bank deposits are completed and submitted timely.
  • Screens, interviews and hires qualified applicants for open positions and monitors labor cost by ensuring the physician schedules and staffing requirements are maintained efficiently, within labor tracking standards and overtime policies.
  • Coordinates/assists practice manager with specific functions and activities of assigned practice including materials management, information systems, human resources, payroll, engineering including monitoring the functioning and repair needs of equipment.
  • Facilitates professional development of staff. Maintains current on new and existing policies and procedures and implements necessary training for new and current employees.
  • Demonstrates the ability to work effectively under pressure and stress by managing time effectively; Works well within the organizational framework to achieve hospital/departmental goals and objectives including, but not limited to, the facility Business Plan.
