Administrative Specialist IV – Nursing Training & Residency – Maitland

AdventHealth Maitland seeks to hire an Administrative Specialist IV who will embrace our mission to extend the healing ministry of Christ.

Facility Profile:

Established in 1908, AdventHealth is one of the largest not-for-profit healthcare systems in the country, caring for more than a million patients each year. Department Profile:

The AdventHealth Marketing team is comprised of non-clinical staff responsible for the promotion of medical services and service-lines, programs and on-site capabilities to past, present and future patients of AdventHealths. We work directly with administration, physicians, clinical staff and service line experts to insure an accurate representation of hospital capabilities as it relates to both the campus and the Florida Brand entity.

Work Hours/Shifts:

Monday – Friday, 8:00am – 5:00pm

Job Summary:

Adheres to the AdventHealth Corporate Compliance Plan and to all rules and regulations of all applicable local, state and federal agencies and accrediting bodies.Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.Responsible to update/maintain/forward various reports and departmental requirements. Screens and assists visitors and phone calls to ensure routing to appropriate personnel.

Knowledge, Skills, Education, & Experience Required:

  • Meets HR typing/grammar/math requirements.
  • Computer skills to include Outlook, Microsoft Word, Excel and Power Point
  • Capable of communicating professionally with an acceptable use of English grammar
  • Knowledge of medical terminology (preferred)
  • Strong multi-tasking skills; able to assimilate and react appropriately to a variety of stimuli incoming at one time. (preferred)
  • Degree in health science (preferred)
  • At least a high school diploma or equivalent (G.E.D) (preferred)

Job Responsibilities:

  • Works without close supervision, consulting with managers when appropriate, seeking approval and advice in situation outside personal authority and expertise.
  • Screens and continually assists with all incoming telephone calls and visitors to ensure routing to appropriate personnel within department and hospital in an accurate and timely fashion. Represents the department in a positive manner.
  • Responsible to update/maintain/forward various reports and departmental requirements completely and within established time frames. Maintains appropriate records and establishes departmental filing systems to ensure the expeditious retrieval of information.
  • Maintains a supplies inventory and orders as needed with manager’s approval.
  • Monitors equipment and environment of care and place work orders as needed. Monitors staff time and attendance, keep managers informed of errors and enter changes in a timely manner. Monitors overtime and informed staff and managers before the end of the week.
  • Assigns support staff to assist licensed staff with patient care duties daily. Understands the licensed staffs’ needs and availability of the techs.
  • Participates in practices changes as a result of performance improvement activities. Supports quality standards and initiatives set by the department.
  • Practices principles of employee and patient safety when performing daily job activities via observation.
  • Willingly adjusts and adapts to changes in workload by altering working hours and days to assure updating of reports and to assist in other areas as approved and observed by manager When available and as required, assists with patient care following the Technical Aide/2PTA job description ‘Duties and Responsibilities’ Section.
  • Complies with AH Compliance Plan, rules and regulations of all local, state, and federal agencies, and with the standards of all accrediting bodies and payors as evident through documentation reviews, tracers and rounds results.
