You Will Be Responsible For:
  • Provides secretarial and clerical support for the Director and Department Managers.  Prepares (or authors) correspondence for appropriate signatures.  Proficiently utilizes computer equipment accurately for preparation of all correspondence.
  • Assures the smooth and orderly function of the multi-departments, has the authority to make decisions in the absence of the Director / Manager, pertaining to decisions that have been discussed previously.
  • Keeps track of the schedule – Master calendar – makes and reminds people of appointments.  Responsible for all incoming and outgoing correspondence, ensuring appropriate follow-up.
  • Coordinates sets-up and confirms meetings as required.  Schedules meetings as requested, ensuring all individuals are notified and locations are reserved.  Plans, organizes, facilitates and or participates in all meetings – (able to hold small department meetings-when Manager is not available, and set up a speaker for in-service training.)  Makes travel arrangements – Submits expense reports to Accounting with copy to Financial Technician.
  • Gathers information for payroll purposes – any issues and make sure proper paperwork and signed reports are submitted in a timely manner. 
  • Makes sure Education and Training In-services are kept up – kept abreast of what seminars are available for employees. 
  • Provides reception support. Answers the telephone promptly and in a courteous manner and offers assistance wherever possible.
  • Respond both orally and in writing to inquiries from vendors, contractors and employees.
  • Makes sure evaluations are done in a timely manner.

  • Should have strong organizational skills, and strong knowledge of office procedures. 
  • Good communication skills and great attention to detail are required. 
  • Must possess excellent typing, spelling and grammar skills. 
  • Must be computer literate with skill in the use of spreadsheets, proficient in Word, Excel, and PowerPoint, and the ability to function with minimal supervision. 
  • Must be able to manage multiple projects, and adapt to changing priorities.
  • Individual must be able to take the initiative in handling matters within scope of responsibility, and use good judgment in the absence of the Director/Manager. 


  • Individual must have a High School Diploma
  •  At least three years increasingly responsible administrative experience as a secretary with related job description duties.
  • AA degree preferred. 
Job Summary:

Under the direction of the department Director, is responsible for providing secretarial support and assistance.  To maintain a good public relationship with staff and other department members and to be able to work independently without constant supervision.  This position requires the knowledge of Policies and Procedures.
