Medical Staff Coordinator – Orlando Medical Staff – Orlando

AdventHealth Orlando seeks to hire a Medical Staff Coordinator who will embrace our mission to extend the healing ministry of Christ.

Facility Profile:

Located on a lush tropical campus, our flagship hospital, 1,107-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. We are already one of the busiest hospitals in the nation, providing service excellence to more than 32,000 inpatients and 125,000 outpatients each year.

Job Summary:

Manages a variety of medical staff meetings and projects, including the independent performance of a wide range of complex administrative assistant duties and a multitude of office procedures in support of the Campus Officers of the medical staff at the campus location. Serves as a liaison between Campus medical staff members and Campus Officers, centralized medical staff services, other hospital departments, and administration to provide outstanding customer service and accepting responsibility to build and maintain relationships that are equally respectful to all.

Knowledge, Skills, Education, & Experience Required:

  • Comprehend and speak English fluently
  • Strong organizational skills.
  • Intermediate level computer knowledge, including proficiency in Microsoft Word Excel, and Outlook.
  • Ability in transcription.
  • Proficiency in medical terminology.
  • Excellent oral and written communication skills, strong interpersonal skills, leadership and analytical abilities
  • Ability to work with individual of varied backgrounds and professional levels
  • Ability to develop trusting relationships with medical staff, department personnel, and administration
  • Ability to work independently, prioritize projects, and problem solve.
  • Bachelor’s degree in Business or Office Administration, or related field
  • OR Minimum three years’ experience in a healthcare environment
  • Experience in meeting management and minutes recording
  • Medical staff services office experience (Preferred)
  • Experience with credentialing software (Preferred)

Licensure, Certification, or Registration Required:

  • Certified Professional Medical Staff Management credential (Preferred)

Job Responsibilities:

  • Meeting Management – Coordinates the Campus medical staff master calendar and circulates on campus and to the system Medical Staff Office. Provides total management in conjunction with the chair, of meetings including scheduling, conference room reservation, food, tele-video conferencing, agenda preparation, and is knowledgeable on agenda items and able to participate. Is responsible for the minutes and records conclusions and recommendations succinctly and accurately to substantiate actions taken. Posts meeting minutes to Sharepoint within seven business days. Maintains and protects the confidential records of proceedings which may be required in subsequent internal investigations and/or external legal disputes. Forwards recommendations and follow-up, submission of all minutes to System Medical Staff Office.
  • Key meetings include but not limited to:
  • Campus Leadership Committee, Section Meetings, Ad Hoc Committees, Special Committees and Investigative Committees
  • Manages Campus Code of Conduct (COC) process. Receives all reports and processes according to the Medical Staff Code of Conduct Policy MSP#101 maintaining confidently of this highly sensitive committee. Responsible for the scheduling of this Committee, including guiding the Chief of Staff in meetings. Submits COC report with the Campus disposition and all related correspondence and documentation to System Code of Conduct Committee.
  • Maintains up to date knowledge regarding the Medical Staff Bylaws, Organizational Policy, Credentialing Policy, Allied Health Policy, Peer Review Policy and General Rules and Regulations. Serves as a knowledgeable resource. Educates Campus medical staff leaders, hospital personnel and administrators as necessary and/or requested.
  • Conducts Medical Staff Required Campus Orientation for all new physician and Allied Health Applicants. Reviews required materials from the orientation manual and completes orientation check list and survey with each candidate. Assists with appointments for Mask fit testing and hospital badge as applicable.
  • Responsible for convening the Annual Campus Nominating Committee by required date set in the Medical Staff Bylaws. Submits names to the System Office and completes nomination reports to be mailed to eligible voting members for each election year.
  • In accordance with Medical Staff Bylaws coordinates and maintains timely Emergency Room call schedules, in collaboration with elected department chairmen or designated section chairmen as assigned, serves as designee for medical staff leader. Assists medical staff members with submission of call change forms to the system office.
  • Communication – Strengthens and improves communication regarding medical staff affairs by performing the following:
  • Forwards all decisions and recommendations resulting from Campus committee meetings to the appropriate System committee.
  • Communicates actions from MEC and the Board to the appropriate Campus sections or committees including placement on the necessary agenda.
  • Serves as liaison with the medical staff, hospital administration and medical staff leadership to maintain and enhance effective relationships and ensure overall physician engagement.
  • Is knowledgeable concerning practitioner demographic and organization specific data bases for the hospital and production of customized queries pertaining to the Campus membership and committees. Facilitates medical staff members’ demographic updates.
  • Receives and manages complaints from or about physicians and forwards through the appropriate individual or process.
  • Coordinates efforts between Medical Staff Services and other hospital departments such as Clinical Performance Improvement, Risk Management, CentraHealth Network.
  • Monitors and facilitates compliance with System processes and with medical staff Bylaws and Rules and Regulations.
  • Supports Campus Chief of Staff and other Campus Officers. Supports Chief Medical Officer for applicable campuses:
  • Manages the correspondence and maintains the medical staff calendar/schedule of the Chief of Staff or Chief Medical Officer and coordinates meetings at his/her request. Receives and screens incoming calls for the Chief of Staff or Chief Medical Officer.
  • Facilitates communication between Campus medical staff leaders and system medical staff leaders
  • Performs diversified administrative assistant duties of considerable responsibility and under minimal supervision.
  • Supports Campus Executive Office as needed including but not limited to:
  • Coordinates and schedules meetings, special events for executives, provides travel arrangements, arranging for meeting spaces, visual aids, agendas, materials, and refreshments.
  • Processes payment authorization invoices and expense reports as needed.
  • Processes contracts, agreements and renewals as needed.
  • Performs other duties as assigned or directed.
