Front Office Float – Loch Haven OB/GYN – Orlando

AdventHealth Orlando seeks to hire Front Office Float who will embrace our mission to extend the healing ministry of Christ.

Located on a lush tropical campus, our flagship hospital, 1,107-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. We are already one of the busiest hospitals in the nation, providing service excellence to more than 32,000 inpatients and 125,000 outpatients each year.

At Loch Haven OB/GYN, we offer complete women’s care through a team of experienced physicians, all of whom are board-certified by the American Board of Obstetrics and Gynecology. Members of our team have consistently been listed in expert rankings such as 'Best Doctors in America' and 'Central Florida's Top Doctors” and continue to receive numerous awards for patient care, teaching and medical research. Our seven faculty members have been chosen to participate in teaching medical students and young doctors through AdventHealth’s Graduate Medical Education program, and several of our doctors serve as faculty for the Florida State College of Medicine. Loch Haven OB/GYN delivers over 1,200 babies each year and provides over 22,000 patient encounters each year.

8:00am – 5:00pm /Monday - Friday

Job Summary:

Under the supervision of the Front Office Manager, the Front Office Float is responsible for providing assistance and coverage for the following positions: Service Representative, Appointment Secretary, Managed Care Referral Coordinator and Medical Records/Scanning. The Front Office Float registers new patients in the computer system, obtains and updates insurance and demographic information on the established patient. Schedules and confirms appointments, processes managed care referrals and Medical Records Scanning. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

Job Responsibilities:

  • Floats to like positions (delineated below) at other Graduate Medical Education offices when assigned.
  • Front Desk Service Representative: Greets patients warmly and in a timely manner. Requests and verifies patient demographic and insurance information in order to register all patients in a professional manner according to Medical Education Guidelines. Obtains consents and verifies insurance coverage. Collects appropriate co-pays and past due balances and documents co-pays due for services rendered and completes check in process. Balances the cash drawer and daily receipts to the user batch report on a daily basis.
  • Appointment Receptionist: Utilizing Medical education guidelines, makes, cancels, and reschedules appointments according to patient, and physicians’ availability, while displaying telephone courtesy and clarity at all times. Answers calls, using scripted opening greeting, identifying department and self. Always asks the patient’s name and demographic information before processing the call. Confirms appointments according to Medical Education guidelines.
  • Referral Coordinator: Process all referral requests communication with the physicians and insurance companies to ensure that the patient is sent to the participating facility or specialist. Obtains all authorizations for managed care patients. Copies and faxes medical records as needed to the insurance company to expedite the authorization process. Also sends any requested medical records to the specialist. Documents all referrals in the patient records. Acts as a liaison between patient, physician and managed care organization when questions or problems arise concerning a referral. Communicates effectively with clinical staff regarding calls of prime importance and nature of request.
  • Medical Record Specialist. Monitors fax machine to insure proper distribution of patient records and other correspondence to appropriate individual. Follows Medical Education guidelines to process current patient records and respective correspondence. Analyses medical record requests for accuracy and completeness and ensures authorization supports documentation to be released as outlined in Medical Education guidelines. Retrieves and distributes patient records in a timely manner and according to Medical Education guidelines. Maintains current log of medical records received and disclosed.
  • Medical Records Scanner: Demonstrates ability to prioritize work effectively. Selects appropriate documents to be scanned. Follows a systematic procedure for scanning records into Epic. Proficient in scanning records utilizing the Optical Character Recognition (OCR) and image scan. Reviews and corrects images scanned to ensure quality and accuracy.
  • Performs individual and team duties accurately and in accordance with Medial Education guidelines. Demonstrates flexibility and willingness to support coworkers and other FPR offices.
  • Works well within the organizational framework to achieve hospital/departmental goals and objectives including, but not limited to the facility Business Plan.
