Job Description

GENERAL SUMMARY:

Reporting to Operations Director, this position (FLSA Status:  Exempt)  is accountable for the day to day operations of running imaging site(s), which includes planning, staff management both administrative and technical, budget management, maintaining relationships with referring groups, and on-going customer service functions. This position is responsible for meeting the both quality and operational goals for the site(s). This position will provide onsite management and supervision that meet and exceed corporate operating objectives.  In addition to the expectations listed below, the Site Manager will support other center/company needs as directed.

PRINCIPLE DUTIES AND JOB RESPONSIBILITIES:

•         Performance Management:  Completes payroll duties in a timely manner and maintains accurate payroll practices.  Recommends changes in basic structure and organization within the center to ensure the effective fulfillment of objectives assigned and provide the flexibility.  Creation of staff schedule and posts in advance to ensure all departments & shifts are covered.  Participates in the interviewing/hiring process for open positions.  Insures completion of department orientation for new employees.  Defines the qualifications and competence of staff who provide treatment and services, and holds staff accountable for their responsibilities. Works with Human Resources to ensure that annual performance appraisals for all staff are completed by annual due dates and are communicated effectively to all staff.  Provides coaching & counseling to staff as needed.  Promotes and supports continued training & development for staff members.  Ensures documentation and resolution of any employee incidents that occur at facility.  Has a comprehensive understanding of the company’s customer services focus and programs and supervises accordingly.  Maintain staff retention of 85% or greater by implementing effective retention strategies.  Recognizes staff routinely for delivery of positive customer service, motivates employees to continually improve. 

•         Workflow Management:  Ensures the smooth operations of all areas by keeping lines of communication open with all direct associates, physicians, other site managers and the management team.  Ensures on time delivery by managing workload effectively to meet required deadlines.  Works with scheduling team to ensure that daily schedule is optimized, add-on patients are accommodated and no-shows are followed up on.  Ensure communication is provided to patients when there is a delay in the schedule.  Actively resolves complaints and issues as they arise.  Works closely with radiologists and other physicians in the organization to provide quality patient care.  Works with other support services managers to resolve front desk/medical records/transcription/scheduling issues effecting the overall operations of the business. 

•         Financial/Budget Management: Monitors daily volumes and understands why the variances have occurred.  Operates the site within budget guidelines.  Analyzes monthly FTE and expense reports and provides insight into reasons for variance.  Ensures that all co-payments and deductibles are collected at time of service.  Develops action plans as needed to correct negative variances.  Monitor performance and profitability of services offered.  Assists leadership team in the development of the annual site budget as well as capital equipment justification and planning.

•         Communication:  Responsible for implementing strategies to promote teamwork within the center and with other associates including the physicians and marketing team.  Maintain professionalism in speech, actions and attire. Uphold confidentiality of patients, associates and proprietary company information.  Provides timely communication to staff via regular monthly staff meetings, e-mail notifications, and bulletin board postings.  Holds department meetings every month at times of the day accessible by the majority of staff & provides follow up to any open ended items.  Ensures staff is informed about patient satisfaction and current performance initiatives.

•         Safety, Quality Control and Process Improvement:  Understands and follows policies & procedures regarding general safety, radiation safety, infection control and emergency response plans.  Participates in departmental performance improvement and patient safety improvement activities.  Completes annual safety training.  Maintains up to date MSDS book on site.  Response quickly to the safety concerns that put employees, customers or self at risk.  Reports any adverse incidents in a timely manner to management and risk management.  Evaluates patient satisfaction at least monthly, provides feedback to staff about patient satisfaction scores.

•         Team: Promotes growth from within the organization.  Encourages and motivates team as evidenced by positive attitude, low absentee and tardiness rates and employee engagement survey results. Overseeing all areas of training for new staff as well as continuation of training for existing staff.  Immediately responds to inappropriate staff behavior and provides coaching and possible council. 

•         Knowledgeable of all product lines, modalities, equipment and policy & procedures relating to the management of radiology services

•         Routinely helps out in departments when busy, relieving staff for lunches or breaks



KNOWLEDGE AND SKILLS REQUIRED:

•   Must show evidence of job-specific competencies.

•   Must have excellent interpersonal, communication and organizational skills.

•   Computer literacy in Word, Excel, Outlook, and Internet access. 

•   Previous Business Development experience

•   Must be able to speak, read and write English

KNOWLEDGE AND SKILLS PREFERRED:

•          Knowledge of Medical Terminology

•         Experience with Cerner.

•         Hospital, Medical Practice or Physician office experience

EDUCATION AND EXPERIENCE REQUIRED:

•         Associate’s Degree in Healthcare Administration, Health Services or Business Administration

•         Minimum of three to five years’ experience in a supervisory capacity.

EDUCATION AND EXPERIENCE PREFERRED:

•         Bachelor’s Degree in Healthcare Administration, Health Services or Business Administration preferred
