Job Description

Hospice of the Comforter is the community, faith based, non-profit Hospice organization covering Seminole, Orange, and Osceola counties. Our organization is a member of Florida Hospital and Adventist Health System. We are a compassionate care team of highly specialized and trained professionals. The Shift for this position is Wednesday, Thursday, Friday, Saturday and Sunday.  11:30 AM - 8:00 PM.  Three days in Altamonte Springs and Two days at Florida Hospital in Orlando.

The Administrative Specialist is responsible for assisting the manager or designee to provide general administrative support and other clerical functions. 1. Creates the staff schedule grid which allows the IPU manager to prepare the monthly and weekend schedules. 2. Answers telephone in a timely manner, identifies department and self, directs call to appropriate person or assists caller. Takes messages, documenting the time, name of caller, phone number, and message when applicable. 3. Converts IPU admission in electronic medical record (EMR) and inputs all patient information into EMR. 4. Conducts audits of patient database system and receives notification from the Health Information Management (HIM) department regarding missing data in the patient database system to ensure quality of care. 5. Requests patient records from non-Florida Hospital hospitals for ME cases. 6. Accesses Florida Hospital’s HIM for H&P’s, scans and discharges Medication Reconciliation forms. 7. Informs patient’s primary care practitioner (and other doctor’s as required) when patient has passed via Compassion fax. 8. Tracks diagnosis coding sheets, unsigned PO’s and AO’s from charts for physician signature for HIM. 9. Creates reports daily, weekly, and monthly, as required.


Education and Training:  High school diploma or GED is required.  Associate’s degree (A.A.) in business or related field is preferred.  An equivalent combination of education and experience may be substituted at the discretion at the Administrator.

Experience:  Minimum of 2 years related administrative or clerical experience is required.  Healthcare experience is preferred.
